Project Coordinator
The Project Coordinator supports the Project Management team by assisting in project planning, execution, documentation, and closeout. This role helps keep projects organized, compliant, and on track by managing critical administrative and coordination functions across budgeting, billing, submittals, document workflow, subcontractor support, and project reporting. The Project Coordinator plays an important role in supporting client satisfaction, maintaining accurate project records, and helping achieve desired financial outcomes for assigned projects. The position also serves as a liaison between internal teams, customers, utilities, and external stakeholders to support the successful delivery of projects.
Pay: $33/Hour - $36/Hour
The pay listed is the salary range for this position. Any specific offer will vary based on the successful applicant’s education, experience, skills, abilities, geographic location, and alignment with market data.
Minimum requirements
- Minimum one (1) year of project coordination, project administration, or related experience required; experience in construction, energy, utility, or related industries preferred.
- Experience supporting budgets, submittals, document workflow, permitting, or compliance tracking preferred.
- Experience with project management software such as Procore, Smartsheet, or SiteTracker preferred.
- Experience with certified payroll processes is a plus.
- Basic accounting or billing experience is a plus.
- High school diploma or equivalent required; associate or bachelor's degree in Business, Construction Management, Project Management, or a related field preferred.
Duties & Responsibilities
- Set up new projects in project management systems.
- Enter, process, and track contract change orders.
- Review and interpret customer contracts.
- Prepare and submit project billings.
- Monitor and track project costs.
- Assist Project Managers with budget maintenance and budget tracking.
- Track project percentage completion and progress milestones.
- Prepare, submit, and track project submittals.
- Maintain project document workflow, including organizing, routing, filing, and tracking documentation.
- Generate and maintain monthly project reports.
- Arrange and schedule project status meetings.
- Organize project kickoff and closeout meetings.
- Coordinate project transitions to the service department.
- Schedule labor crews and coordinate travel arrangements when required.
- Set up new vendors and subcontractors, including collection of COIs, W-9s, and required documentation.
- Support subcontractor coordination by tracking documentation, communications, and project requirements.
- Assist with compliance tracking for project and subcontractor documentation requirements.
- Support certified payroll documentation and tracking as required by contract requirements.
- Utilize Procore and other project management systems to maintain project records and communications.
- Prepare, update, and maintain project spreadsheets, logs, and reports in Microsoft Excel.
- Track and manage project data, updates, and documentation.
- Coordinate communications with customers, utilities, and other stakeholders regarding project status, requirements, and timelines.
- Support permitting, easement tracking, and compliance documentation.
- Prepare meeting notes, progress updates, and project status reports.
- Assist in identifying and resolving project issues or delays through proactive coordination.
- Support communication among engineering, procurement, construction, and operations teams.
- Contribute to process improvement initiatives that increase project efficiency and accuracy.

- Ability to maintain accuracy across multiple project records, deadlines, and reporting requirements.

Physical Requirements
- Prolonged periods of sitting, standing, bending, and stretching.
- Manual dexterity and hand-eye coordination required for computer operation and document management.
- Occasionally lift and carry up to 30 pounds.
- Ability to maintain a clear drug and alcohol screening record.
